Host FAQ

1. Who can host an event?

Anyone can host their own event. This can be a filmmaker, an actor, an event promoter, a theater owner, a gallery owner, an art coop, a film lover, or just about anyone you can think of.

2. Where can I host an event?

Events can be held where ever you can create a suitable viewing environment for films. The essentials includes a screen to project the films, a way to play the films, an audio system that will allow the audience to hear the films, and a comfortable place for the audience to sit while they watch the films.

3. What are the technical requirements to host an event?

High speed internet is ideal but not essential. You will be given a copy of the films to play prior to your event. The audience can interact either with a wifi network, or they can join the discussions via a mobile network using their mobile devices.

4. How do I sell tickets?

You can sell tickets via Eventbrite, Splash, Peatix, or any other ticket selling program. All of these are free to join and offer you all the tools you need to create your event, track your sales, and help you to promote your event.

5. What does the UGPFF provide?

UGPFF will provide you will the films to show during the festival in advance so you do not have to stream them during the screening. You are allowed to show these films for the duration of the festival. (Nov. 13 – Nov. 29, 2015).

Depending on the sponsors that are secured, UGPFF may provide the venue with a Step and Repeat however we will not guarantee that for each event. We can discuss any additional needs prior to the event.

We will also make sure that we hold a technical run through prior to your event to ensure that everything goes smoothly the day/night of your event.

6. I need to pay for an event space, who pays for that?

UGPFF will NOT pay for an event space. This is the promotors responsibility. We have been able to secure free venues for most of our events in the past.

7. How do local fees for apply to regional, national, and global sponsors?

Prior to your event, we will sell promotional opportunities to our local events and as an event promoter, you will be entitled to a share of the agreed upon fees from our sponsors. Not all sponsors will be included in all our local events. A detailed list will be provided to our event promotors outlining the sponsors for your event.

8. How do local showcases work?

If there are enough quality submissions from a particular region, we can provide the promotor with a list of filmmakers who have submitted their works for consideration for the festival. Films that are NOT included in the Global event may still be eligible for a local screening.

As a promoter, you will be responsible for getting the deliverable content from the individual filmmakers. You can then hold a public event showing these films to the public. You are welcome to sell tickets to this event as well. This will be held outside of the regular UGPFF Satellite screening although it can be held during the same weekend. We will work with you to make sure to schedule it appropriately to encourage local filmmaker participation and community growth.

9. What additional information do yo need from me as an event promotor?

If you are a citizen of the United States and you receive a payment for more than $599 from UGPFF you will be required to file a W9 form.  You will be required to pay any Federal, State, and local taxes according to the tax laws in the United States. Please check with your accountant, or tax professional for any additional information.

If you are outside of the United States, please check with your local tax authority to see what additional responsibilities you will have.
